Job Description

Malawi Red Cross Society (MRCS) is a countrywide humanitarian volunteer organization and a member of the International Federation of Red Cross and Red Crescent Societies movement. In Malawi, it was established in 1932 by an Act of Parliament and works auxiliary to the Government and embodies the principles of the movement. It focuses on providing Humanitarian Services to the needy and vulnerable populations. MRCS has more than 260 staff members and a network of local volunteers in 33 Divisions in all the 3 regions of Malawi. Its Headquarters is in Area 14, in Lilongwe.

MRCS is now inviting applications of qualified candidates for the position of Senior Accountant to be based at its Headquarters in Lilongwe

Position: Senior Accountant

Purpose of the Position

To support the Director of Finance and Support Services in managing all aspects of Institutional or project accounting by compiling financial information and assisting in the preparation of financial reports.

Key Tasks and Responsibilities:

Reconciliation of Accounts receivable

  • Initiate and process journal entries and reconciles general ledger and subsidiary accounts
  • Receive and journalize all dully approved liquidation documents coming from staff on a daily basis and also make sure any related balances due the project and employee are recorded on a daily basis
  • Prepare a write off schedule for receivables that may be deemed unrecoverable

Bank and Treasury Management

  • Liaise with banks regarding all bank transactions of the Project immediately as the need arise
  • Prepare a monthly cash request and make sure that enough cash is available to run and implement project activities

Compliance and Tracking:

  • Maintain a birds-eye view of overall reporting requirements, financial management and grant timelines for the project
  • Ensure sound project financial, administrative, and programmatic management (i.e.: achievement of contract deliverables, consultant and sub-award tracking, invoicing, effective project burn rates against planned activities, etc.)
  • Update project budget forecasts; Review monthly expenses and participate in the preparation and submission of monthly funding requests to donors
  • Implement internal controls and best practices across all grant’s functions

Sub-awards and Procurement

  • Conduct quality assurance on invoices, payments and expense reports submitted by district project staff to ensure compliance with funder rules and regulations
  • Ensure close out of grants and contracts in line with requirements

Financial Management and Reporting

  • Prepare Budget Comparison Reports by the fifteenth day of every month
  • Collaborate with project leads in considering/evaluating longer term funding needs of projects and developing individual funding and staffing plans in line with technical requirements
  • Timely report of any financial challenges being experienced to the immediate supervisors

Minimum qualifications and experience

  • Bachelor’s degree in Accounting or Business Administration plus 3 years work experience in accounting
  • Professional Accounting partial or full
  • Knowledge of accounting software is a must
  • Ability to use QuickBooks, Microsoft Windows and Microsoft Office Products
