1. OBJECTIVE of the POSITION / OVERALL RESPONSIBILITY (SHORT)
- Support the Accountant and Country Director in administrative tasks (Finance & Human Resources)
2. MAIN TASKS and OBJECTIVES
- Administrative tasks for Accountant and Country Director. Which would include: • Tracking employee leave days
- Attending employee disciplinary hearing
- Assisting in making bank reconciliations
- Support in overseeing proper usage of office equipment
- Prequalification of Employee Applications (e.g. down payments, vacation, …) and advances.
- Preparation of Salaries for Accountant to finalize. Submitting data for Payroll i.e. accumulated leave days
- Scanning and Filing Vouchers and other documents of the Finance Department; and upload to SharePoint, answer queries from German Finance Team on vouchers & documents.
- Keeping HR reports and Database always up-to date (digital & paper); and following up on employee missing records
- Prepare employment contracts based on templates.
- “Run Errands” to bank and other institution as required.
3. EDUCATION and QUALIFICATIONS
- Diploma or Bachelor in Business Administration, HR, Finance or related field
- Work experience in Human Resources
- Work experience in Finance Administration
- Computer Literacy: MS Office (esp. MSExcel, MSWord, Outlook)
- Language Skills: Chichewa (C2), English (C2), German a plus
- Drivers Licence for cars for at least 3 years
