Job Description

Baylor College of Medicine Children’s Foundation —Malawi (BCM-CFM) is a not-for-profit organization working in partnership with the Malawi government in the health sector. Our mission is to improve the health and lives of children with HIV, cancer and blood disorders through high quality, high impact, ethical, state of the art comprehensive care and treatment, training of health professionals and clinical research. We are situated within the Kamuzu Central Hospital premises, opposite Kamuzu College of Nursing.

BCM-CFM invites applications from suitably qualified individuals to fill the following positions:

Data Entry Clerk — Global HOPE (Pediatric Hematology-1 Oncology Pediatric Program)
The Data Entry Clerk will be responsible for routine record management and clerical functions to assist in the collection, sorting, coding, data entry, processing, and secure storage of clinical, research, education, administrative records and data forms pertaining to the PHO program. He/She will report directly to the Monitoring and Evaluation Officer and will work under the guidance of the Program Director for the Department of Pediatric Hematology/Oncology at the Centre of Excellence.

Duties and responsibilities

  1. Responsible for data entry from the paper patient files and registers into the database.
  2. Assist in creating new patient files and ensure that the patient file contains all essential documents, templates, and forms as per PHO standards.
  3. Assist in Data Management.
  4. Perform data quality checks and verification.
  5. Assist in ongoing data cleaning.
  6. Attend regular programmatic meetings.
  7. Filing of patient files and assisting with scheduling of clinic appointments.
  8. Assist the Social Worker in following up missed appointments through phone calls.
  9. Generating weekly and monthly report that includes, but is not limited to: all patients’ clinic attendances, scheduled visits, missed appointments, registration for new patients and other areas as needed by the Paediatric Haematology/Oncology Department.
  10. Conduct other data management duties as required and assigned.

Qualification and Experience

  • Diploma in Information Management, Data Management or related field.
  • Minimum 2 years’ experience in data collection and analysis in a healthcare setting.
  • Experience with Paediatrics and/or Paediatric Oncology is preferred

Knowledge and skills

  • Knowledge in data entry, cleaning analysis, and reporting
  • Knowledge of Microsoft Word, Excel and Access
  • Demonstrate excellent interpersonal and communication skills;
  • Strong self-motivation, team work, written and verbal communication, and organizational skills;
  • The ability to work independently and prioritize quickly and appropriately;
  • Excellent computer skills, including strong experience in data entry using Microsoft Excel and Access.
  • Proficiency in English (both oral and written).
