Job Description

A vacancy for a Finance and Administration Officer exists at the  Employers’ Consultative Association of Malawi (ECAM), a small not for profit organisation (< 10 employees) located in Blantyre. The Finance and Administration Officer reports to the Executive Director and supervises 2 staff members.

The income for ECAM mainly comes from subscriptions by members and revenue from events organised by ECAM. Expenses mainly refer to employee related costs and office costs.



  1. Financial management
  • Maintains accounts general ledgers
  • Processes monthly payroll
  • Remits taxes and pensions
  • Complies with all legislative and regulatory requirements
  • Manages of cashflow and prepares of monthly cashflow projections
  • Prepares quarterly management accounts for management and the Council, to include P&L, Balance Sheet and analysis of variances
  • Prepares annual budgets for submission to the Council
  • Manages Accounts Payables & Accounts Receivables
  • Prepares grant / funding applications and liquidations
  • Maintains Fixed Asset register
  • Undertakes monitoring and evaluation on all activities, programmes and projects
  • Liaises with banks for all finance matters
  • Undertakes reconciliations
  • Develops and implements relevant financial policies
  • Undertakes adequate measures to ensure data backups
  1. Auditing
  • Prepares annual accounts to up to trial balance stage
  • Liaises with external auditors
  • Follows up the implementation of audit recommendations
  1. Administration
  • Undertakes general office administration
  • Takes an active role in managing procurement processes
  • Carries out human resources functions
  1. Other responsibilities
  • Advises and proposes to management organizational improvements
  • Develops professional networks
  • Takes an active role in member recruitment and retention
  • Represents ECAM in various forums
  • Makes full use of the Customer Relationship Management system
  • Performs all activities ethically and in line with ECAM’s policies

Qualifications and experience

  • A first degree in accounting and/or finance with at least 1-year experience
  • A Diploma in accounting and/or finance with at least 3 years’ experience may substitute the degree requirement
  • A member of a professional body
  • Experience in working for member organizations and/or in research will be an added advantage


  • Ability to work in teams, to multitask, to be accountable for own work, to be innovative, to put interests of members first and to build work relationships
  • Practical marketing experience
  • Trustworthiness and confidentiality
  • Knowledge of accounting standards
  • Willingness to develop oneself
  • Understanding of business member organizations and not-for profit organizations
  • Excellent grasp of modern technologies including Microsoft Office and accounting packages

The successful candidate will be on annual contracts whose renewal will be subject to availability of funding for the position. The renumeration will be within the pay structure of ECAM.
